1.Who we are

FleetHub is a fleet management platform by IT-SmartSystems, Heestenweg 17, 2222 Heist-op-den-Berg (Belgium). Company number: 1041.263.326. Contact: info@fleethub.be.

2.Data we process

• Account data: name, email address and the company you belong to.
• Fleet data: vehicles, bookings, drivers and damage reports you enter.
• Technical data: sign-in events and logs for security and proper operation.
• Error reports: if something goes technically wrong on the website or in the app, we keep an error report for 30 days with technical data: the error message and the technical trace (the stack), the page (without parameters), the browser type and, if you were signed in, your account and company ID. We use it to fix the problem. It is stored with Supabase, in London (United Kingdom).
• Notifications: if you use the app and turn notifications on, we store that device’s push token so we can send you a notification. It disappears as soon as you sign out, delete the app or turn notifications off. This does not happen on the website.

3.How we use it

We use your data to deliver the service (signing in, managing bookings, sending notifications), to keep the service secure, and to support you. We do not sell your data.

4.Processors

To deliver the service we rely on carefully selected third-party providers, for example for application hosting, database and authentication, and email delivery. These providers only process personal data on our instructions.

Appropriate data processing agreements are in place with these parties. A current overview of the processors we use is available on request via our contact details.

5.Cookies

We use strictly necessary cookies to sign you in and run the app. In addition, only with your consent, we place Google Ads cookies to measure whether a visit came from an ad. We do no visitor analytics and show no ads ourselves. Google acts as an independent controller for this and may process data outside the European Economic Area. 6.Retention

Bookings are deleted 12 months after their end date on a Pro subscription, and 6 months after their end date on the free plan. Error reports with technical data are deleted after 30 days. We keep your other data for as long as your company uses the service.

A free company (no subscription or running trial period) that makes no bookings at all for 180 days is deleted automatically, together with all its users and data. Beforehand, the administrators of that company receive four emails: after 30, 60 and 90 days, and a final warning a week before the deletion. A new booking resets the count.

When a company stops using FleetHub, the data can be deleted on request, subject to any legal retention obligations.

7.Your rights (GDPR)

You have the right to access, correct, delete and port your personal data, and to object to certain processing. Contact us to exercise these rights.
